About PDF to Excel

Convert selectable PDF text and table-like layouts into an editable Excel workbook directly in your browser.

PDF to Excel is useful when structured information needs to move from a PDF into spreadsheet software. The browser workflow creates one worksheet per PDF page and preserves extracted text positions as rows and cells. Complex scanned documents may require OCR or manual cleanup. Table detection works best on PDFs with real text and visible grid lines or consistent column spacing. After conversion, open the workbook and check merged cells, numbers stored as text, and date formats before using the data in formulas. Worked example — a bookkeeper receives a three-page bank statement as a PDF and needs the transactions in Excel to reconcile them. The statement holds 42 transactions across three pages, and the five largest are: a client payment of 1,240.00, a software subscription of −86.40, office supplies of −212.75, a refund received of 540.00, and bank charges of −45.90. Adding them gives 1,240.00 − 86.40 − 212.75 + 540.00 − 45.90 = 1,434.95, which is the net of those five lines and a useful check that the extraction lined the columns up correctly. Table — the five lines as they should land in the workbook: 4 Nov 2026, Client payment, 1,240.00; 6 Nov 2026, Software subscription, −86.40; 9 Nov 2026, Office supplies, −212.75; 12 Nov 2026, Refund received, 540.00; 15 Nov 2026, Bank charges, −45.90. If any of those amounts lands in the date column or the description column, the table detection misread the layout and needs fixing by hand. Before / after — before: 42 transactions locked in a PDF that cannot be sorted, filtered or summed; after: a workbook with one worksheet per page, where the 42 rows sort by date and the amounts sum with a formula. The common mistake is trusting the workbook without checking it: numbers often arrive stored as text, so a SUM formula returns 0 until the cells are converted to numbers, and dates often arrive as text such as 04/11/2026 that Excel reads as the 4th of November in one locale and the 11th of April in another. Check the five largest lines against the PDF first, then convert the amount and date columns. Do not use this on a scanned statement: a scanned page has no text layer, so there is nothing to extract, and the workbook comes out empty. Primary objective: Extracts selectable PDF text into an XLSX workbook with one worksheet per page.

Privacy assurance: This PDF operation is performed in the browser from the file you select; the workflow does not require uploading the document to ExpTool.

How to Use PDF to Excel

  1. Choose a PDF containing selectable text or tables.
  2. Run the conversion and let the tool extract page text into worksheet rows.
  3. Open the XLSX file in Excel or another spreadsheet editor and review the extracted columns before using the data.
  4. Confirm the PDF has selectable text first: if you can highlight a transaction amount with the mouse, it can be extracted; if not, it is a scan and needs OCR.
  5. Convert, then open the workbook and check the five largest transactions against the PDF line by line.
  6. Convert amount cells stored as text into numbers before using SUM, or your totals will read 0.
  7. Check the date column: a date that Excel reads as text needs converting, and a US-formatted date can flip day and month.
  8. Save the checked workbook under a new name, such as statement-nov-2026-checked.xlsx, and keep the original PDF beside it.

Key Use Cases & Applications

  • moving PDF tables into spreadsheets
  • working with reports and statements
  • turning selectable PDF data into editable rows
  • Turning monthly bank or card statements into a sortable transaction spreadsheet.
  • Extracting product tables from supplier catalogs for price comparison.
  • Turning a three-page bank statement with 42 transactions into a sortable workbook for a monthly reconciliation.
  • Extracting a supplier price table from a PDF catalogue into Excel to compare 60 product prices.
  • Moving a 12-page grant report’s budget table into a spreadsheet for variance analysis.

Frequently Asked Questions

Can PDF to Excel convert scanned PDFs?

The browser extractor works best with selectable PDF text. Scanned image-only PDFs require OCR before reliable table extraction.

Does it preserve complex tables?

Simple table-like layouts can convert well, but complex merged cells, graphics and multi-column designs may need cleanup in Excel.

Are files uploaded?

The conversion is performed in the browser; the PDF is read locally for extraction.

How accurate is the table detection?

Accuracy depends on the source PDF. Clean, text-based tables with clear columns convert well. Scanned pages, skewed layouts, or tables built from positioned text fragments may need manual cleanup in Excel afterward.

What Excel format is produced?

The tool produces a modern .xlsx workbook that opens in Excel, Google Sheets, LibreOffice, and Apple Numbers.

Can it convert password-protected PDFs?

Only if you can open the PDF first. Remove the password with the owner password in a PDF reader, save an unlocked copy, then convert it.

What if my PDF pages are scanned images?

Scanned pages contain no selectable text, so run them through an OCR step first (see PDF OCR to Text) and convert the resulting text PDF instead.

My five largest transactions add to 1,434.95 in the PDF — how do I use that to check the workbook?

Add the same five amounts in Excel: 1,240.00 − 86.40 − 212.75 + 540.00 − 45.90 = 1,434.95. If Excel gives a different total, a value landed in the wrong column or is stored as text and was left out of the sum.

Why does my SUM formula return 0 when the amounts are clearly there?

Because the amounts arrived stored as text, not as numbers. Select the amount column, convert the cells to numbers, and the SUM will work. This is the single most common problem with PDF-to-Excel output.

Can this convert a scanned bank statement?

No. A scanned page is an image with no text layer, so there is nothing to extract and the workbook comes out empty. Run the scan through OCR first, then convert the resulting text PDF.

What happens to merged cells and subtotal rows?

Merged header cells usually split into separate cells, and subtotal rows land as ordinary rows. Check the header row and every subtotal against the PDF before you rely on the workbook for a reconciliation.

Which spreadsheet programs open the .xlsx file?

Excel, Google Sheets, LibreOffice Calc and Apple Numbers all open the modern .xlsx format produced here. The data is plain rows and cells, with no formulas or charts rebuilt from the PDF.
